The Office of the University Registrar (OUR) conducted a two-day Training Workshop on the Development of the OUR Standard Operating Procedure (SOP) Manual on 17–18 April 2026 at Costa Madrangca. The workshop aimed to equip OUR personnel with the knowledge and skills necessary to develop a comprehensive SOP Manual that documents, standardizes, and streamlines all core and support processes of the office.
The resource persons and workshop facilitators were Rina Joy Ambatang from the Human Resources Development Office and Charito Gavadan from the Office of the Vice Chancellor of Academic Affairs of the University of the Philippines Visayas.
On the first day of the workshop, Asst. Prof. Nilo Araneta presented an overview of OUR’s mandated functions and the core functions of each OUR section. Ms. Gavadan and Ms. Ambatang introduced the concepts, standards, and formats of Standard Operating Procedures (SOPs).
As part of the workshop activities, the OUR sections on Admissions and Curriculum, Records, Academic Documents, Administrative Services, and Information Systems developed process maps for all services under their respective sections. This activity was followed by the identification of gaps, risks, and areas for service improvement in each functional area.
On the second day, participants focused on SOP writing, including the development of step-by-step procedures, roles and responsibilities, and timelines for each service area. The outputs from each section were presented and consolidated during the afternoon session.
The training workshop was attended by 15 participants, headed by University Registrar Prof. Nilo Araneta and 14 OUR staff members. Ms. Arrianah Noreen Parcellano served as the master of ceremonies.
Expected outputs of the training workshop include a draft OUR SOP Manual covering all major office processes, as well as process flowcharts and detailed procedural guides for each function. This initiative supports institutional efficiency, transparency, quality assurance, and knowledge transfer while aligning OUR operations with UPV’s academic governance and digital transformation initiatives.
